Privacy Policy
Spanwise ("we", "us") provides offline-first business management software to schools and other organizations ("Customers"). This policy explains what data we collect, why, and how it's protected — both for the Customers who use Spanwise directly, and for the students, guardians and staff whose information a Customer stores in it.
1. Who controls this data
For data entered into Spanwise by a school — student records, fee balances, marks, attendance — the school is the data controller and Spanwise is the data processor. This means the school decides what data to collect and why, and Spanwise's role is to store and process it securely on the school's behalf. Questions about a specific student's or guardian's data should generally go to the school first.
2. What we collect
Account and business data — when a school signs up: the school's name, contact details, staff logins, and billing information.
Data entered by the school — student names, guardian contact details, class/grade placement, fee balances and payment records, marks and attendance records, and any other information a school chooses to enter.
Website usage data — pages visited, general location (country-level, used only to show relevant pricing and language on this website), and demo request form submissions.
We do not knowingly collect more student information than a school itself chooses to enter, and we do not sell any data to third parties.
3. Children's data
Because Spanwise is used by schools, it necessarily processes information belonging to minors. We treat this with particular care:
- Student data is entered and managed by the school, not collected directly from children by Spanwise.
- Each school's data is stored in an isolated database, separate from every other school's.
- We do not use student data for advertising, profiling, or any purpose beyond providing the software the school has signed up for.
- Parents/guardians with questions about their child's data should contact their school directly, as the school controls that data.
4. How data is stored and protected
Each school's data lives in its own isolated database, protected by row-level security so one school's records are never visible to another. Data is encrypted in transit (HTTPS) and backed up daily. Because Spanwise is offline-first, data may also be temporarily stored on a staff member's device before it syncs — this local data is limited to what's needed for that device to keep working offline, and is not retained indefinitely.
5. Payments
Fee payments made through Spanwise (cash, mobile money) are recorded as transaction records within the school's own data. Mobile money payments are processed through the relevant local provider — Spanwise does not store mobile money PINs or full account credentials.
6. Third parties we use
We use a small number of service providers to run Spanwise and this website: hosting and form handling (Netlify), email (Zoho Mail), and video hosting for tutorials (YouTube, for publicly viewable how-to content only — never student data). Each of these providers has its own privacy policy governing the technical data they process on our behalf.
7. Your rights
Depending on your country's data protection law, you may have the right to request access to, correction of, or deletion of your data. For data entered by a school (student/guardian/staff records), please start with the school, since they control that data. For your own account or website data, contact us directly using the details below.
8. Data retention
We retain a school's data for as long as they have an active account, plus a reasonable backup retention period afterward, unless a school requests earlier deletion. Backups are rotated on a schedule described in our internal operations documentation, available on request.
9. Changes to this policy
We may update this policy as Spanwise grows into new countries and verticals. Material changes will be reflected by an updated "last updated" date above.
